General retrospective questions

  • A retrospective is a team session outside of your daily routine where you reflect on a period of time. The goal is to find and name the things that didn't went well, share visions, discuss, but also celebrate what did went well. Detect problems, create assigned to-dos, improve and measure again. You'll learn and improve each cycle and deliver higher team results.

  • It's important to reflect with your team and employees. If you don't reflect you'll won't improve that fast. You want to insert a feedback loop in your (team) work process. This way you can detect problems, learn and improve.

  • Retrospectives should be performed cyclically. In general we see teams working in 2 or 3 weeks sprints. The retrospective interval is then 2 to 3 weeks as well. If you reflect monthly or quarterly that's also possible, but a quicker feedback loop gives a accelerated learning.

  • Follow these steps to start an online retrospective:

    1. Register or Log in
    2. Click on your team
    3. Click on start retro
    4. Select the retrospective template that you want to use
    5. Click next
    6. Your retro is now open, and everyone will receive a magic link by email

    1. Register or Log in
    2. Click on the add team button in the upper left corner.
    3. This will guide you to the add team wizard.
    4. Add your project name, click next

  • You need to have a minimum of 1 person inside your team. This way you can easily test the application and see if you like it.

  • In the real world you're working in a project team. It only makes sense to first add your team on retros.work, then you can start an online retrospective board for your team.

  • When you register, you're also creating a new company account. The company account is the single-point-of-truth: it will contain all the users of your company, your roles & permissions and the subscription. You - as leader - should invite colleagues by adding their email addresses. This way they are inside your company account and can be re-used over multiple teams. Company accounts work in isolation.

    Don't ask your users to register themselves. They should follow your invite email. When one of your colleagues registers for an account themselves... they will create their own company account which works in isolation. It's not possible to add users to your team that are inside another company account.

    When this happens, you'll see a message that the user is already registered, you then have a couple of options:

    • Use another email address for this user, and add that one to your account
    • Ask the user to delete his current account (but he will lose all this data), and then invite the email address again

  • Yes, If you're on the premium version you can create and customize templates. You can add questions and define the input type. You can choose for score, emoticon or text input. Score and emoticon answers will automatically be plotted in the trends.

    To create your own template, follow these steps:

    1. Register or Log in
    2. Click on your team.
    3. Click start retro.
    4. Give your retro a name, click next
    5. Click on Choose from templates
    6. Click Edit question models
    7. A dialog appears
    8. Click on the add button to create a new template
    9. Or click on the template you would like to edit

  • Yes, as a premium member you can export the retrospective answers and to-dos. Follow these steps:

    1. Register or Log in
    2. Click on your team.
    3. Click on the more menu button, upper right corner
    4. Click on Export answers or Export to-dos
    5. This will start a *.csv and *.xslx download

  • As a premium you can modify the columns (question model) of the retrospective board. Freemium members can only change the entire model for another model. To change a column, follow these steps:

    1. Register or Log in
    2. Click on your team.
    3. We assume the retrospective has already started
    4. Click on the more menu button, upper right corner
    5. Click on Edit columns
    6. This will open the dialog where you can change the questions and input type per question.
    7. Click save when you're done

Onboarding questions

  • When adding a user he (or she) will receive an email that their account has been created. They are requested to follow the link and create a password within 14 days.

  • Receiving email can be difficult, there can be a lot of reasons why emails aren't getting through. Most common reasons are:

    • The email went into the SPAM folder
    • Your mail server is blocking our address noreply[a]retros.work

    We do everything in our power to send high quality emails from a good IP address.

    When you're not receiving emails, you have a couple of options:

    1. Could you ask your IT department to white list noreply[a]retros.work? This way all email will be received
    2. You can manually onboard your colleagues by sending them an onboarding link.

  • To manually onboard your colleagues without email, follow these steps:

    1. Register or Log in
    2. Go to employees overview.
    3. Find the colleague who has email problems
    4. Click on the red dot alongside his name
    5. A dialog opens
    6. In the card Resend onboarding email click the send button.
    7. In the card Onboard via manual url click the copy button
    8. Paste the onboard url in your favorite chat program to your user.
    9. He can now set-up a password

  • To see if your users have onboarded, you can follow these steps:

    1. Register or Log in
    2. Go to employees overview
    3. Find the colleague that you're looking for in the list
    4. View the red or green dot alongside his name
    5. Green means: user has set-up a password and has logged-in at least once in his lifetime
    6. Red means: user has not set-up a password and has never logged-in
    7. If the dot is red, you can resend the onboarding email or send a manual onboarding link

  • If a user can't log-in then this might be caused by these reasons:

    1. He forgot his password and should use the password reset functionality
    2. He never set-up a password, because he ignored the first onboarding email or didn't receive it

Trends questions

  • When you start a retrospective - by default - you get the questions How do you feel? and Energy score? on your retrospective board. The first is an emoticon and the second a score input. The other columns will be text input and users can add their feedback.

    The results of these questions over multiple retrospectives are plotted in trends. Over time you'll build data and can easily see how a team member is feeling in the long run. This is important because you don't want your colleagues to be unhappy or have a burn-out.

Subscription questions

    3. View the subscription that you currently have
    4. Scroll down and set a new seats value that match the total of users that you need
    5. Click the upgrade or downgrade button
    6. A dialog opens
    7. Confirm the new details for the subscription

Billing questions

  • Let's say you have 30 users, then you'll pay for 30 seats a month. The price drops per user and you can scale or downscale at any day. Billing is per month. Roles questions

  • Yes, as full_control user you can change the roles and permission.

    We have 3 fixed roles: full_control, manager and employee.

    You can define what each role can do and assign users to different roles.

    4. Change the checkboxes for the permissions on each role that you want to change

  • When you want to delete your account, follow these steps:

  • We clean-up all our database relations linked to your user when you delete your account.

    You can try to re-register to see if your email address is available again for registration. This way you know your data is gone.
